Goodfellow Research Poster Awards 2027

# Rules and Terms and Conditions

The Goodfellow Research Poster Awards recognise early-career research built on advanced materials. Three winning Institutions, for the benefit of their departments or research groups, share £8,000 of Goodfellow material credit to fund further research. Full terms and conditions apply, and by entering you accept them.

## Terms and conditions

### 1. Organiser

1.1 The Goodfellow Research Poster Awards (the “Competition”) are run by Goodfellow Cambridge Limited, Unit C1, Ermine Business Park, Huntingdon, PE29 6WR, United Kingdom, company number 01188162 (“Goodfellow”, “we”). Prize orders may be fulfilled by other Goodfellow Group companies on behalf of Goodfellow Cambridge Limited.

1.2 By entering, you agree to these terms. Our decision on any matter relating to the Competition is final, but does not affect any rights you have under applicable law.

1.3 Winning Institutions will sign Goodfellow’s Prize Acceptance Agreement, which includes undertakings on sanctions, export control, re-export, end use, anti-bribery and data protection. Sections 5 to 7 apply to an Institution only once it has signed that Agreement, and its acceptance must confirm that it complies with its own gift and anti-inducement policies.

### 2. Eligibility

2.1 The Competition is open to PhD students, postdoctoral researchers, research students and early-career researchers who, on the closing date, are registered at or employed by a university or publicly funded research institution (the “Institution”).

2.2 Master’s students undertaking experimental research may enter. Goodfellow decides eligibility by applying the criteria in this section.

2.3 Entrants must be 18 or over.

2.4 The following may not enter: employees of Goodfellow and its group companies, the judges, and their immediate families.

2.5 Entries cannot be accepted from countries or Institutions, individuals or other parties to which Goodfellow cannot lawfully supply, including under sanctions or export control rules, or where the end-use or end-user is prohibited or presents an unacceptable risk. Goodfellow screens entrants, supervisors, co-authors and Institutions as described in section 4.7, decides these matters at its discretion, may withdraw or disqualify an entry or withhold a prize at any stage, and is not required to give reasons.

2.6 By entering, you confirm that your supervisor has agreed to your entry and to being named on it, and that your co-authors agree to the poster being entered and to their names and Institutions being shared with Goodfellow. Only name co-authors who have given this agreement. You must also give your supervisor and co-authors a link to the [competition privacy notice](https://landing.goodfellow.com/poster-awards-privacy?hsLang=en).

2.7 Entries must be made using the entrant’s institutional email address.

### 3. Entries

3.1 One entry per person. An entry is a research poster (PDF, maximum 20 MB) with its abstract (up to 250 words), submitted through the online form.

3.2 The poster must have been presented, or prepared for presentation, within the 24 months before the closing date, and be in English.

3.3 The research must feature a material that Goodfellow supplies. The material may have been obtained from any supplier. The source of the material has no bearing on judging. No purchase from Goodfellow is needed to enter.

3.4 The poster must be the entrant’s own work, or work of a group the entrant belongs to. It must not infringe anyone else’s rights or disclose information the entrant is not free to share.

3.5 Entries close at 23:59 UK time on 18 December 2026. Late, incomplete or ineligible entries will not be considered.

3.6 We may ask for evidence of eligibility at any stage and may disqualify an entry that does not meet these terms, or that we reasonably suspect contains false, plagiarised or fabricated material, misrepresents the entrant’s identity or affiliation, or involves fraud or a breach of sanctions or export-control rules.

### 4. Judging and stages

4.1 Entries are judged by a Goodfellow panel: Dr Aphrodite Tomou, Dr Maheera Ghani, Dr Arunima Nair, Adam Sells and Qian Yang, plus an independent judge, to be confirmed before judging begins. We may change the panel if needed, but it will always include an independent judge who is not a Goodfellow employee.

4.2 Each entry is scored equally on scientific quality, role of the material, potential impact and communication.

4.3 A judge with a personal, professional, commercial or financial connection to an entrant will declare it and not score that entry. Each judge will sign a confidentiality and conflicts undertaking before receiving entries, and scoring records will be kept.

4.4 **Shortlist.** The judges shortlist on merit as entries arrive. There is no fixed number of shortlisted entries.

4.5 Shortlisted entrants must, by 18 December 2026, provide: (a) a video of up to 2 minutes about their research; and (b) additional information, including the names and work contact details of their head of department and the Institution’s procurement or finance contact, or any further information we reasonably need to verify eligibility. A shortlisted entrant who does not provide these may be withdrawn. See the [competition privacy notice](https://landing.goodfellow.com/poster-awards-privacy?hsLang=en) for how we use these contacts’ details.

4.6 **Finalists.** Up to 10 finalists are chosen from the shortlist. Each finalist must give a 15-minute online presentation to the judges on a date in January 2027, to be confirmed when finalists are notified. Presentations may be recorded for judging and record-keeping only, and we will tell you before recording starts. Finalists must also provide, within 7 days of being notified, the names and published work contact details of their head of department and of the Institution’s procurement or finance contact, so that we can verify eligibility and arrange prize delivery. See the [competition privacy notice](https://landing.goodfellow.com/poster-awards-privacy?hsLang=en) for how we use finalists’ details and recordings.

4.7 Finalists must pass eligibility and compliance checks before selection, and must complete a written End User Statement. By entering, you acknowledge that finalists, their supervisors, co-authors and Institutions will be screened as part of these checks.

4.8 **Winners.** The judges choose first, second and third place from the finalists. Winners will be notified by email by Monday 8 March 2027 and announced publicly on Thursday 11 March 2027, during British Science Week.

4.9 We may award fewer prizes if, in the judges’ view, entries are not of sufficient quality.

### 5. Prizes

5.1 Prizes are Goodfellow material credit: first £5,000, second £2,000, third £1,000.

5.2 All finalists receive a finalist certificate and digital badge. Shortlisted entrants receive a digital badge. Badges recognise participation in the Competition and do not imply that Goodfellow endorses the research.

5.3 Prizes are awarded to the winner’s Institution, for the benefit of the winner’s department or research group, not to the individual. Use of the credit is governed by the Institution’s own rules, and Goodfellow has no say in how it is allocated within the Institution. Goodfellow will deliver goods only to the Institution’s own premises and will not accept instructions to invoice or deliver to any other party or to a private address.

5.4 Credit is applied at Goodfellow’s list price on the date of order. For orders outside the UK, the GBP value is applied against the relevant Goodfellow price list at Goodfellow’s published exchange rate on the date of order. Orders are invoiced at full list price, with the credit shown as a deduction.

5.5 Credit may be used across Goodfellow’s range, excluding items that are export-controlled for the destination or end-use (including dual-use items and items that need a licence), dangerous goods, items that cannot lawfully be shipped to the Institution (for example because of chemical-registration, import-permit or other regulatory restrictions) and precious metals. Goodfellow may agree to supply excluded materials case by case, subject to sanctions, export-control and other compliance checks and approval (and any required export licence); no Institution is entitled to an excluded item.

5.6 Credit covers the goods and standard delivery on all orders over £500 or the local currency equivalent. Orders under this threshold will be subject to a delivery fee. Import duties, VAT or sales tax and other local taxes are the Institution’s responsibility, and the Institution acts as importer of record. Materials must be lawfully and compliantly suitable for shipment on Incoterms 2020 DAP terms to the Institution’s address.

5.7 Credit must be ordered within 12 months of the winner notification date, in one or more orders. Unused credit then lapses.

5.8 Prizes have no cash value, cannot be exchanged for cash and cannot be transferred to another Institution. Goods supplied may not be re-exported or re-sold without Goodfellow’s prior written agreement and compliance with export-control law. No refund, rebate or credit note is paid in cash: credit for returned or cancelled goods is re-credited, and any balance above the credit must be paid by the Institution from an account in its own name.

### 6. Prize delivery

6.1 The Institution will be asked to set Goodfellow up as a supplier, including on its e-procurement platform where it has one. This is an administrative step so that orders can be placed against the prize credit. It is not a condition of winning, does not oblige the Institution to buy anything beyond the prize credit, and gives Goodfellow no preferred-supplier status or influence over the Institution’s procurement decisions.

6.2 If the Institution cannot do this, Goodfellow will agree another compliant way to deliver the prize with the Institution, as approved in advance by Goodfellow Finance: each order is invoiced to the Institution at full list price, with the prize credit applied in full. No alternative route will involve cash, a third party or a different invoice or delivery party.

6.3 An authorised representative of the Institution must confirm in writing, in the Prize Acceptance Agreement referred to in section 1.3, that it accepts the prize and that acceptance complies with its policies.

### 7. Winner commitments

7.1 Each winning department is invited to host one talk or presentation by Goodfellow to its students and researchers within 12 months of the award, on a date agreed by both parties. Accepting the invitation is not a condition of receiving the prize. Talk content will be reviewed in advance to make sure no export-controlled technology or information is shared. Travel and hospitality for the talk follow Goodfellow’s expenses and anti-bribery rules, and attendee details are collected only with notice and consent.

7.2 Winners are invited to take part in reasonable publicity for the Competition, as described in section 8, and may decline, or withdraw at any time, subject to any confidentiality agreement with their Institution.

### 8. Publicity and intellectual property

8.1 As between the entrant and Goodfellow, the entrant (or their Institution or other rights holder) keeps all intellectual property in their posters, abstracts and videos.

8.2 By entering, each entrant grants Goodfellow a non-exclusive, royalty-free, worldwide licence to reproduce the poster, abstract, video and presentation recordings of shortlisted entries, with the entrant’s name, Institution and photograph, to promote the Competition and Goodfellow, including on its website and social media. The entrant confirms they have authority to grant this licence, including from any co-authors, the Institution, funder or sponsor. The licence lasts for 3 years from the closing date. We will publish an entrant’s name, photograph, video or recording only with their separate consent given when they are shortlisted, which they can withdraw at any time; we will then remove the content from channels we control within 30 days, but cannot recall copies already shared by others.

8.3 Entries that are not shortlisted will not be published.

8.4 Entrants must not submit confidential information. Goodfellow is not responsible for any disclosure of information an entrant has chosen to include. Goodfellow does not accept entries in confidence, does not verify or endorse any entrant’s research, results or claims about any material, and will use entries only to run the Competition and as set out in this section 8.

### 9. Personal data

9.1 Advanced Scientific Materials Limited, the Goodfellow Group holding company, is the controller of entrants’ personal data. Goodfellow uses it on its behalf to run the Competition, deliver prizes and publicise results, in line with the [competition privacy notice](https://landing.goodfellow.com/poster-awards-privacy?hsLang=en).

9.2 Goodfellow will send marketing to entrants only where they have opted in on the entry form.

9.3 Contact details for supervisors, co-authors, heads of department and procurement or finance contacts are used only to administer the Competition, verify eligibility, carry out sanctions and export-control screening and deliver prizes. Entrants confirm they are entitled to share them. We ask only for work contact details the Institution already publishes. We will give these individuals privacy information when we first contact them, within one month at the latest, and will not add them to marketing lists.

9.4 Goodfellow keeps personal data only for as long as necessary, in line with the [competition privacy notice](https://landing.goodfellow.com/poster-awards-privacy?hsLang=en) and the [Goodfellow Group privacy notice](https://www.goodfellow.com/uk/legal/privacy), and then securely deletes or anonymises it.

### 10. Liability and changes

10.1 Goodfellow is not responsible for entries lost, delayed or corrupted, or for technical failures.

10.2 To the extent permitted by law, Goodfellow is not liable for any loss arising from the Competition or the prizes, except for death or personal injury caused by its negligence, fraud (including fraudulent misrepresentation), or any other liability that cannot lawfully be excluded.

10.3 Goodfellow may amend, suspend or cancel the Competition if circumstances outside its reasonable control, including a change in law, a new sanctions or export-control restriction, or the discovery of fraud or manipulation of the Competition, require it, and will publish any change on the Competition page.

### 11. Law

These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction, save that this does not limit any mandatory rights you have under the law of the country where you live.
